Role of Lake Mary Toastmaster

I created this helpful guide for the role of Toastmaster in our Lake Mary club.   It is a compilation of everything I have learned over the last several months and I think it can be very helpful for Toastmasters across the globe. 

There are many other guides out there but this is a quick down and dirty checklist that sort of sums it all up.

So you are the Toastmaster

The role of Toastmaster is of critical importance and sets the stage for the entire meeting.  If the Toastmaster does not perform their duties well, the meeting will suffer.    The Toastmaster holds the burden of setting the tone and most importantly, keeping the meeting on schedule.   Lake Mary Toastmasters meets before work hours, so ending promptly at 8:30 is the most important duty.    The assignment of Toastmaster requires careful preparation and planning in order for the meeting to run smoothly
.    

 

Goals: 

·   Prepare the Agenda and Ensure Roles are Filled

·   Ensure Meeting Ends Promptly at 8:30

·   Facilitate the Meeting and Introduce the Roles

·   Introduce the Theme and Set an Exciting Tone for the Meeting

 

Meeting Preparation:

·   Ensure the Agenda is Completed and Roles are Filled

·   Print and Bring Agenda to Meeting

·   Pay Particular Attention to Speaker Times and Adjust Agenda Accordingly

·   Plan to Fill 3 Speeches Unless Members Have Longer Speeches then Reduce to 2 (some have speeches greater than 7 minutes)

·   Document Speech Titles, Number and Manual for Record Keeping (order: newest speakers first)

·   Request Introductions from All Speakers

·   Ensure Technical Roles Understand Duties

·   Plan and Communicate Theme To Members Especially Table Topics Master and Grammarian

 

Meeting Facilitation:

·   Arrive Early to Pass out the Agenda

·   As Members Arrive, Ensure Roles are Filled and Modify if Needed

·   Ensure Technical Roles have Buddies if New to Role

·   Plan to Keep Meeting on Time with the Following:

o       Ensure Meeting Starts on Time

o       Prep Roles as to Time Limits

o       Monitor the Clock

o       Adjust Table Topics if Necessary (to 1 or 2)

o       Adjust Master Evaluator Time if Necessary

·   Introduce Theme and Say a Few Words to Get the Meeting on Track

·   Introduce Technical Table

·   Announce Each Speech Title, Number and Manuel and Speaker Intro

·   Remain at Lectern Until Speaker Arrives and Assumes Position, Shake Hands and Take Your Seat

·   At the End of Each Speech, Lead the Applause, Move Quickly to Next Portion

·   Upon Introducing the Master Evaluator, you Turn Control of the Meeting to That Person.  If Time has Run Over, Discreetly Alert the Master Evaluator Who Must Keep the Remainder of the Meeting on Time.
